SIA Mars Logistics, registration No. LV40203160397, registered address: Kleistu iela 24, Riga, LV-1067 (hereinafter — the Company), processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (General Data Protection Regulation or GDPR), the Personal Data Processing Law, and other applicable laws and regulations of the Republic of Latvia. The Company ensures that personal data is processed lawfully, fairly, and transparently, for specific and legitimate purposes, in a data-minimizing manner, and no longer than necessary for the relevant purpose, while applying appropriate technical and organizational security measures.

The Company may process identification data such as first name and surname, contact information including email address and telephone number, company details such as company name and registration number, delivery and billing addresses, financial information required for the performance of a contract, as well as customs and cargo documentation data. In the context of website use, the Company may also process the IP address and technical information related to the use of the website.

Personal data is processed for the conclusion and performance of contracts, the provision of logistics, customs brokerage, and 3PL services, communication with clients and cooperation partners, invoicing and accounting, as well as compliance with legal obligations. In certain cases, data may also be processed on the basis of the data subject’s consent or the Company’s legitimate interests, for example to ensure IT security and improve website performance. Personal data may be disclosed to state and municipal authorities, including customs and tax administration institutions, accounting and legal service providers, IT system maintainers, hosting service providers, as well as transport and logistics partners. Transfers of data outside the European Union take place only where appropriate safeguards are ensured in accordance with GDPR requirements. The Company does not sell personal data to third parties.

Personal data is stored for as long as necessary to achieve the relevant purpose or in accordance with the retention periods set out in applicable laws and regulations. Accounting documents are retained for up to 10 years, contract documentation for up to 10 years after the end of the cooperation, and data processed on the basis of consent until such consent is withdrawn. After the retention period expires, the data is deleted or anonymized.

The data subject has the right to request access to their personal data, request its rectification or erasure, restrict processing, object to processing, receive the data in a structured, machine-readable format (data portability), and withdraw the consent previously given. The data subject also has the right to lodge a complaint with the Data State Inspectorate if they believe that the processing of personal data does not comply with applicable legal requirements.

The Company applies appropriate security measures, including data encryption, restricted access to systems, secure server infrastructure, and regular security checks, in order to protect personal data against unauthorized access, disclosure, alteration, or destruction.
